Administrative Manager

Job Title: Administrative Manager

Reports To: General Manager

Department: Food & Beverage/Retail Operations

Status: Exempt

Broad Functions: Generates daily reports for shortages and overages, checks transactions and conduct reconciliation of accounts. Reports discrepancies to Management.


Main Duties and Responsibilities:


  1. Works closely to Areas USA’s Payroll Manager for the completion and effective execution of all local payroll functions.
  2. Supervises the maintenance of office equipment, including copier, office pc’s printers, etc.
  3. Orders office supplies on a timely manner.
  4. Responsible to perform all cash room duties, including liquidations, generates daily reports for shortages and overages, checks transactions and conduct reconciliation of accounts and reports discrepancies to Management if no cash manager is in place (site specific)
  5. Monitors budget and completes financial forms as directed by the General Manager.
  6. Assists management in the processes hourly Associates’ schedules in the optimal schedule management program.
  7. Monitors and generates reports related to associates’ attendance and tracking of progressive discipline
  8. Assists management in the verification of hours in E Time, including breaks and conducts proper reporting and follow ups with management.
  9. Verifies tips not declared by Associates and reports to management
  10. Follow up and support restaurant maintenance requests.
  11. Keep all vendor contacts and account numbers up to date.
  12. Generates daily sales and labor reports, including overtime.
  13. Assists in the planning, research, development, and implementation of programs and specials projects.
  14. Compiles, generates and tabulates various data or statistics for projects, records or recurring reports, office activity reports or statement reconciliations as needed.
  15. Assist in the processing and tracking of all invoices, including waste resolving any issues if needed.
  16. Assists management in the control’s uniforms inventory.
  17. Distribute parking passes and process Airport ID’s. (where applicable)
  18. Assists management to help resolve guests and vendor requests.
  19. Keep all files updated, archive all documents.
  20. Performs other related duties as assigned.

Skills and Qualifications

  1. Minimum of an Associate degree or High School diploma with the equivalent experience.
  2. 3+ year’s general administrative assistant background.
  3. Strong knowledge of MS Office Suite (Word, Excel, Power point).
  4. Must have strong cash handling skills.
  5. Must have experience with accounts receivable and accounts payable.
  6. Must be able to interact and communicate with individuals at all levels of the company.
  7. Must be able to work in a multicultural environment.
  8. Attention to detail.
  9. Must be self-motivated and be able to perform with minimum supervision.
  10. Excellent communications skills. Must be able to read, write and understand English.
  11. Good organizational skills and time management skills.
  12. Must be able to work under pressure and met deadlines.
  13. Able to multi-task and, carefully proofs own work.
