Construction Financial Administrator

Broad Responsibility:  The Construction Financial Administrator plays a critical role in ensuring the financial accuracy and integrity of the organization's construction accounting operations. This position requires a detail-oriented professional who will manage budgets, perform account reconciliations, maintain financial records, and support month-end and year-end closing processes. The ideal candidate will serve as a key contributor to the finance team, ensuring compliance with accounting standards and company policies while maintaining accurate and timely financial reporting.


Main Duties and Responsibilities:

1. Prepare and maintain departmental and project budgets, tracking expenses against approved allocations and identifying variances.

2. Perform monthly reconciliations of general ledger accounts, including bank accounts, credit cards, and vendor statements.

3. Review and code invoices, receipts, and expense reports to appropriate general ledger accounts.

4. Prepare and distribute budget variance reports to department managers and senior leadership.

5. Monitor spending compared to budget to support financial planning.

6. Maintain organized financial documentation and ensure proper filing of all accounting records.

7. Support internal and external audits by providing requested documentation and schedules.

8. Assist in developing and implementing internal controls and accounting procedures to improve efficiency and accuracy.

9. Process payroll-related journal entries and reconcile payroll accounts as needed.

10. Prepare ad-hoc financial analysis and reports as requested by management.

11. Ensure compliance with GAAP, company policies, and applicable regulations.


Skills and Qualifications:

1. Bachelor's degree in Accounting, Finance, Business Administration, or related field (or equivalent work experience).

2. 2-4 years of experience in accounting, financial analysis, or related role.

3. Strong understanding of accounting principles, budgeting, and financial reconciliation processes.

4. Proven experience with general ledger accounting and month-end close procedures.

5. Excellent analytical skills with strong attention to detail and accuracy.

6. Advanced proficiency in Microsoft Excel (VLOOKUP, pivot tables, formulas) and experience with accounting software or ERP systems (e.g., QuickBooks, SAP, Oracle, NetSuite).

7. Strong organizational and time management skills with ability to prioritize multiple tasks and meet deadlines.

8. Excellent communication skills, both written and verbal, with ability to explain financial information to non-financial stakeholders.

9. Problem-solving mindset with ability to identify discrepancies and resolve issues proactively.

10. High level of professionalism, integrity, and ability to handle confidential financial information.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role and requires color determination vision (no color blindness) and to sit for extended periods of time in front of the computer. This position would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Some bending and/or lifting of supplies and mail in/out materials from time to time may be required.
