Broad Responsibilities:
We are seeking a proactive Legal Operations and Contract Manager who is responsible for optimizing the efficiency of the legal processes by overseeing operational functions, including contract operations, licensing, and registration compliance. The ideal candidate will be a results-driven professional who can manage high-volume contract processes, develop efficient workflows with technology, and build strong cross-functional partnerships while ensuring compliance and risk mitigation.
Main Duties & Responsibilities:
1. Manage contracts lifecycle from intake to execution
2. Handle high-volume contract operations with efficiency and accuracy
3. With the assistance of the legal team, ensure all contracts comply with company policies and legal requirements
4. Maintain and update contract management systems, ensuring all contracts are accurately recorded, easily accessible, deadlines are tracked, and terms are summarized
5. Monitor compliance with licenses and registrations, including tracking renewal dates and ensuring that licenses and registrations are timely renewed and active at all times
6. Serve as primary point of contact for new contract requests from various departments, ensuring complete documentation before initiating review processes
7. Build and implement standardized workflows with CLM system and automated processes in contract management systems to route contracts to appropriate reviewers
8. Manage deadlines for legal department, including contract and licensing expirations
9. Oversee Corporate compliance and governance across a portfolio of legal entities and jurisdictions nationwide
10. Continuously evaluate and improve contract workflows to enhance efficiency, reduce turnaround times, and implement stakeholder feedback
11. Prepare and maintain company contracts and records
12. Generate reports on contract status, compliance, and performance metrics while ensuring secure storage and accessibility of all contracts, corporate and license documentation
13. Work closely with all departments to ensure contractual needs are met
14. Provide training and guidance to internal teams on contract processes and best practices
15. Assist with drafting and preparations for documentation needed
16. Support legal department on matters as needed, including special projects
Skills and Qualifications
1. 5 years of experience managing volume contracts, including drafting, reviewing, and negotiating various contract types in a corporate in-house setting
2. Proven experience working within a legal department or in roles requiring close collaboration with legal professionals and managing deadlines
3. Demonstrated experience building processes and automated workflows in CLM
4. Experience with overseeing corporate governance for multiple State and Company registrations
5. Ability to accomplish tasks independently while meeting deadlines and achieving objectives
6. Advanced skills with CLM and ability to upskill to new technology platforms and tools that provide efficiency to the legal department
7. Meticulous approach to reviewing and managing contract documents
8. Outstanding written and verbal communication skills for internal teams and external partners
9. Superior organizational skills to manage multiple contracts, licensing deadlines, registrations, and priorities simultaneously
10. Thrives in collaborative team environments while demonstrating strong leadership capabilities
11. Demonstrated ability to make well-reasoned decisions in complex situations
12. Project management experience

While performing the duties of this job, the employee operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role and requires color determination vision (no color blindness) and to sit for extended periods of time in front of the computer.
This position would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Some bending and/or lifting of supplies and mail in/out materials from time to time may be required.
